What do people think about getting an automated phone call?
No one likes to forget an appointment or miss an important service. In our hectic world, people need reminders and timely information. They understand your call is a courtesy. They appreciate the extra care you extend by providing a higher level of service than the competition.
ReminderPro is not a computerized voice. Calls are delivered in your familiar voice with perfect clarity for positive impact. Studies have shown approval rates for ReminderPro's type of calling technology exceed 99%, and call recipients were nearly unanimous in wanting to receive such calls in the future. Customer satisfaction and retention improves.
How does ReminderPro reduce costs and boost efficiency?
- By offering the reliability of a full-time calling service without the overhead, ReminderPro frees your staff (and your dollars) for other important needs.
- By significantly reducing income loss due to appointment "no shows." ReminderPro provides an immediate payback once you begin using it.
- By providing consistency in message delivery. ReminderPro helps you promote a positive customer-service image.
- By keeping people informed when services are due or about to expire, ReminderPro brings people back to you again and again.
How does ReminderPro handle answering machines?
ReminderPro automatically detects answering machines and voicemail and leaves your message after the beep. If you prefer not to leave messages on answering machines, ReminderPro will try back until it either reaches a person or the calling session is over. ReminderPro also provides options for leaving an alternate message on answering machines, leaving messages only on answering machines, and leaving messages on answering machines only after a specified number of attempts to reach a live person.
What if a person's line is busy or no one is home?
You can set exactly how many times ReminderPro will attempt to call back when a line is busy or unanswered. ReminderPro calls everyone on the scheduled call list once before recalling busy and unanswered calls. ReminderPro will also slow down between retries when there are less than five calls remaining, ensuring a high rate of success in getting through before the calling session ends.
How does ReminderPro know whom to call?
If you are currently computerized and use a database, scheduler, or management system, ReminderPro includes a custom data interface to your software at no additional charge. ReminderPro can import database lists, daily appointment schedules, recall lists, or just about anything you can sort by. If you do not have computerized access to your patients, clients, or customers, you can quickly enter names and phone numbers into ReminderPro and schedule all types of calls with the click of a mouse.
How does ReminderPro know what to say in the message?
ReminderPro creates both data-driven messages and self-contained messages. For example, if you import a daily appointment schedule, ReminderPro automatically "weaves" your greeting, the person's name, appointment time, and date into a complete personal message in your voice. Self-contained messages and message elements (Phrases) with important information can be included with appointment reminder messages, or can be sent separately. You can record an unlimited library of phrases and self-contained messages to fill any need you may have.
Is ReminderPro easy to install?
You can purchase ReminderPro as a pre-installed turn-key system, or as an add-on to an existing computer workstation. Installing ReminderPro's voice hardware is similar to installing a modem or sound card. We walk you (or your computer tech) through installation, system setup, and testing. We can also provide complete installation and training at your site, if you prefer.
Is our data safe when we interface with ReminderPro?
Absolutely! When you view or print a report from your system, you are not changing the data, you are simply looking at it. That's exactly what ReminderPro does, except it reads and interprets the report from a file instead of a screen or page. Because you are exporting data, no changes occur to your system and your data remains untouched by ReminderPro. Most importantly, the entire process of interfacing with your software is automated, making daily operation a three-minute process.
What kind of support is included with ReminderPro?
ReminderPro Office includes 90 days of toll-free support; ReminderPro Select and Enterprise include 6 full months of toll-free support. Our expert technicians are available weekdays from 7 AM until 5 PM to provide expert assistance when you need it. ReminderPro also includes a comprehensive, fully indexed User's Manual and on-screen help at almost every field. Callers to our support department generally reach a live person 97% of the time. This is especially good news if you have a consultant working on-site!
What if a child answers the phone?
The result is not much different than a child answering a live call. A responsible child will call a parent to the phone and replay the message, or will write down the message. The overall effectiveness of ReminderPro does not suffer as a result of children answering the phone; if anything, the novelty of receiving an automated call makes it something the child is more likely to remember and share with the parents.
What kind of messages can ReminderPro send?
ReminderPro will send any messages you want, all in a single calling session. Here are just a few ways our users put ReminderPro to work: appointment reminders, patient/client recall, medication reminders, past due notifications, elder or child check calls, product safety/recall alerts, expiration notices, inclement weather closings, ready-for-pickup notices, delivery confirmations, birthday greetings, meeting reminders, new services, Get Out the Vote...just about any message you need to send to a group of people.
Can we use ReminderPro for telemarketing purposes?
Federal law prohibits the use of automated calling systems for direct solicitation. You may, however, use such systems to contact your existing client base. ReminderPro can reactivate people you have not heard from for a while by reminding them of services due or about to expire, and by sharing important information about staff, hours, locations, services, and product safety. Many states can provide a Do No Call list of people who do not wish to be contacted by telephone. By importing these names into ReminderPro, you are assured that they will not be called. More specific regulations may apply from state to state and we encourage you to contact your appropriate state agency for details.
LabRetriever FAQ
Is LabRetriever easy to set up?
LabRetriever is user-installable on an existing PC workstation or is available as a turnkey system, completely configured and tested on a PC that we provide. LabRetriever includes a set of forms to help you gather all the information you need, such as user names, message ID numbers, and message scripts. If you provide us with your message scripts, we'll even set up and record your basic library of standard lab results messages! Optionally, you can set up system security options if desired.
Once your initial data is entered, you're ready to "go live." When patients' lab results come in, you simply assign the appropriate message(s) to each patient. LabRetriever allows you to assign messages individually or by group. LabRetriever also includes data import utilities, allowing you to import patient, provider, and lab result data from existing software, when available. Once messages are assigned, patients have confidential telephone access to their lab results at any time.
What kind of security is provided?
LabRetriever includes as many levels of security as you need. You can control users' access to every screen and function within the program, if you like. Telephone access is controlled through the use of pass codes for staff and providers. Different levels of access determine who can add, edit, delete, and assign lab result messages.
Patients calling in must enter their Personal Identification Numbers (PINs) before accessing their lab test results. LabRetriever also maintains and archives valuable audit trails of system activity for future reference.
Who records the lab results messages?
Your standard library of lab result messages can be recorded by physicians or staff members, or by JulySoft. Once recorded, these standard messages are stored permanently and can be assigned conveniently to any patient at any time. LabRetriever also allows users to record personal custom messages for individual patients. This is useful when delivering a large number of detailed results (such as a complete lipid profile).
How are patients entered into LabRetriever and who issues PINs?
You can enter patients into LabRetriever by telephone or from the computer. Once patients are entered, they are stored permanently in LabRetriever's database. Authorized users issue patients' Personal Identification Numbers (PINs) when entering the patients. PINs can be any unique identifier such as a chart number, a social security number, or a number chosen by the patient.
How long are patients' lab results messages available to them?
When patients call in they are informed of how many new and old messages are available to them and they can listen to their messages as often as they like until archived. You determine how long lab results messages are available to the patient before being archived.
Can patients transfer to a live person if they have questions?
LabRetriever fields routine lab results calls so providers and staff have more time for patients in the office. To this end, we recommend that you follow-up instructions and related health information as part of each standard message. There may be times, however, when a patient has unanswered questions and would like to speak to someone. If this is desired, LabRetriever allows you to enable operator transfers during office hours.
